Start with what is leaving: item types, counts, approximate dimensions, or the amount of floor space the material occupies. Add photos that show scale and the full route to the loading point.
Next, record access: floor level, doorway or elevator clearances, stairs, dock height, gate instructions, parking limits, and the distance from the load to the truck.
Finally, share timing and responsibility: preferred date, workable service window, who can approve the quote, and which items must remain.
